How Maryville Opened a New Door

We didn't reinvent the wheel at Maryville University. We just stopped hiding it.

For years, we had the same challenge every enrollment team faces: transfer students are complicated. Their transcripts take weeks to evaluate. By the time we gave them answers, they'd already chosen another school—or given up entirely.

So when febelabs approached us about piloting Velocity internally, we were skeptical but curious. Could we really evaluate a transcript in under 60 seconds?

Turns out: Yes. And it changed everything.


The Internal Build

Phase one wasn't about marketing. It was about proving the concept to ourselves.

We worked with febelabs to ingest our articulation data—all the "Course X from School Y transfers as Course Z here" rules that live in binders, spreadsheets, and institutional memory. The kind of knowledge that only three people on campus actually know.

Velocity's AI ate it all. Mapped it. Made it queryable.

Then we built a simple upload interface. No login required. No barriers. Just: "Upload your unofficial transcript. See what transfers. Instantly."

We soft-launched it internally to test the accuracy. Faculty validated the results. Registrar signed off. IT confirmed FERPA compliance.

It worked.


The Homepage Experiment

Here's where it gets interesting.

We added one button to our homepage. Not even above the fold. Just a quiet little: "Already have college credits? See what transfers →"

No ad budget. No email blast. No social media campaign.

Just trust.


30 Transcripts, 28 Matches, 2 Conversations

Month one results: - 30 transcripts uploaded - 28 successfully evaluated (institutions in our 48-year articulation database) - 2 "no matches found" (institutions we'd never seen before) - 2 enrolled full-time within the same month

Here's where it gets interesting: One of those enrollments came from a "no match" transcript.


When "No" Opens the Door

We could have used fuzzy matching. We could have guessed at equivalencies. We could have stayed silent.

Instead, we said: "We didn't find anything in our system, but we'd love to chat."

That honesty? That willingness to admit we didn't have all the answers but wanted to help anyway?

That's what closed the deal.

The student wasn't looking for perfection. They were looking for someone who would listen.


It's Not About the Algorithm

Yes, Velocity is fast. Yes, the AI is accurate. Yes, the instant evaluation is powerful.

But the real unlock isn't the technology.

It's the conversation.

These weren't cold leads. These were people who had been thinking about coming back to school—maybe for months, maybe for years. They just needed one honest answer to take the first step.

Sometimes that answer was: "Here's what transfers."

Sometimes it was: "We don't know yet, but let's figure it out together."

Both worked.


What We Learned

1. Honesty beats perfection. We didn't pretend to have all the answers. When we didn't have articulation data for a school, we said so—and offered a conversation instead.

That transparency? That's what built trust.

2. Speed creates opportunity. The 2-4 week transcript evaluation process isn't just slow—it's a psychological barrier. Every day someone waits is a day they talk themselves out of it.

Velocity eliminates the wait. And with it, the doubt.

3. Technology enables conversation. Our articulation data was always there. In the catalog. In the 48 years of transfer equivalency history. But it was locked behind process.

Velocity didn't just unlock the data. It opened the door to dialogue.

Even when the answer was "we're not sure," we were having the conversation in hours, not weeks.


What's Next

We're not stopping at "what transfers."

We're moving into Phase II with febelabs: Automated Pathways and Skills Intelligence.

The Door We Didn't Know Was Closed

For years, we thought we were open to transfer students. We had a transfer admissions team. A transfer equivalency database. A transfer-friendly culture.

But we were still making people knock and wait.

Velocity let us open the door before they even knocked.

And 30 people walked through in the first month.
